The Opportunity
A growing credit union holds itself to a high standard when it comes to data integrity, system availability, and regulatory compliance. A dependable, well-maintained database environment is essential to support daily operations.
Like many organizations at a similar stage of growth, the credit union's internal IT team had strong server administration skills but needed dedicated SQL Server expertise. As the organization expanded, the complexity of its database environment grew alongside it. The company operated SQL Server availability groups, a configuration that supports high availability and automatic failover between database replicas, giving them a more sophisticated environment than many institutions of comparable size. Managing that environment effectively required specialized knowledge.
The client also faced compliance-driven requirements around data retention and backup management. Monthly and annual database backups needed to be preserved over multi-year periods, and ensuring those processes ran correctly and efficiently was critical to meeting regulatory obligations. As the database environment grew, backup file management presented an opportunity to optimize storage consumption and reduce long-term overhead before it became a more complex problem to solve.
To address these needs without the overhead of a full-time SQL Server hire, the organization engaged Emergent Software for ongoing database managed services. The goal was to gain access to deep SQL Server expertise on a flexible basis — a trusted partner who could serve as an escalation point during incidents, provide proactive guidance through regular environment reviews, and help the organization build a more resilient and efficient data foundation.
The Solution
Emergent Software established a SQL Server managed services engagement with the credit union built around three core pillars: proactive health monitoring, incident response support, and ongoing optimization. Rather than a fixed-scope project, the engagement was structured as a continuous partnership designed to respond to the client's evolving needs as their environment and business grew.
At the center of the technical approach is Redgate SQL Monitor, a tool for database observability. The platform was configured to track the health of the SQL Server environment, including their availability groups, and to generate alerts based on conditions that warranted attention. Emergent worked collaboratively with the team to define which alerts should trigger immediate notification versus which were informational, establishing a practical alerting framework tailored to the organization's tolerance for risk.
As the relationship matured, the organization expanded their service tier to include 24/7 Platinum support. That decision prompted Emergent's DBA team to conduct a thorough internal review of its alert classification standards, identifying which conditions warranted around-the-clock response and building the processes to support that commitment. Automated notifications were configured so the client's internal team stayed informed in real time, with a clear path to reach Emergent at any hour when direct assistance was needed.
One significant area of improvement involved compliance backup processes. Emergent identified an opportunity to optimize how transaction log files were being managed, working with the team to right-size those files and automate the backup process going forward. The effort recovered approximately two terabytes of storage and established a more efficient foundation for ongoing compliance retention. SQL CMD was used to streamline scheduled SQL operations from the command line, and PowerShell provided additional flexibility for system-level tasks that fell outside the scope of standard SQL statements.
Quarterly environment reviews became a cornerstone of the engagement. During each review, Emergent assessed the current state of the organization's databases, identified emerging issues, and delivered recommendations aligned with operational context. This cadence gave the client a structured way to stay ahead of performance and capacity challenges. Over time, Emergent also provided targeted training to internal team, enabling them to take greater ownership of routine maintenance tasks and application windows with confidence.
The Impact
The client has operated with a materially stronger database foundation since engaging Emergent Software, gaining the specialized oversight needed to keep their systems reliable, efficient, and ready to support continued growth. What began as a need for an expert escalation point has evolved into a long-term partnership that shapes how the organization manages and thinks about its data.
System availability and incident response have improved significantly. The move to 24/7 Platinum support means that database issues surfacing outside of business hours are now resolved promptly. The team has the assurance that a qualified DBA is reachable at any time, and that Emergent will stay engaged through complex incidents, including coordinating with Microsoft when an issue exceeds the scope of the managed services team. That consistency under pressure has built deep trust within the organization.
Storage efficiency and compliance processes also saw measurable improvement. Recovering approximately two terabytes of storage through log file remediation delivered direct cost savings while eliminating a long-standing operational risk. The automated backup processes established since then ensure that monthly and annual retention requirements are met reliably, without unnecessary overhead accumulating over time. Incremental server and database configuration improvements identified through quarterly reviews have contributed to sustained performance gains across the environment.
Perhaps most meaningfully, the engagement has shifted how the company approaches data as an organizational asset. Early conversations centered on issues like storage capacity, query performance, permission management. Over time, those conversations have expanded into how the organization's data can inform business decisions, reduce risk, and support growth. That evolution reflects a growing confidence in the reliability of their environment and an increasing appetite to use data strategically rather than simply maintain it.
The organization continues to be an active Emergent Software client, and the relationship is expanding. With Emergent's team having grown considerably in both size and capability, the credit union is beginning to explore how additional practice areas beyond SQL Server managed services can support their next phase of development. The foundation built through years of disciplined database stewardship positions the client well to take that next step.
